Strategic Executive Assistant
ROLE DESCRIPTION
PURPOSE
We are seeking a highly organised and proactive Executive Assistant to provide comprehensive administrative support to our executive team. The successful candidate will play a crucial role in ensuring the smooth operation of the office, managing executive calendars, coordinating meetings, and handling confidential information with discretion. OBJECTIVES
Executive Support:
- Manage and maintain executive calendars, scheduling appointments, meetings, and travel arrangements.
- Act as the primary point of contact for internal and external stakeholders.
Communication:
- Handle incoming and outgoing communications, including emails, phone calls, and correspondence.
- Draft and edit documents, presentations, and reports for executive review.
Meeting Coordination:
- Coordinate and organise meetings, conferences, and events, ensuring all logistics are seamlessly executed.
- Prepare meeting agendas, take minutes, and follow up on action items.
Travel Management:
- Arrange travel itineraries, accommodations, and logistics for executive team members.
Office Administration:
- Manage office supplies, equipment, and vendor relationships.
- Handle general administrative tasks to ensure the efficient operation of the
office.
Confidentiality:
- Handle sensitive and confidential information with the utmost discretion.
Project Support:
- Provide project support as needed, including research, data analysis, and coordination.
Business Strategy Support:
- Assist in the development and execution of business strategies.
- Conduct research to support strategic decision-making.
- Collaborate with the executive team on strategic initiatives.
Investor Relations:
- Assist in the development and execution of business strategies.
- Support the executive team in managing relationships with investors.
- Assist in the preparation of materials for investor meetings and presentations
Role Requirements
FORMAL QUALIFICATIONS
- BCom / Business Science / Engineer
- Bachelor’s degree in business administration or a related field is preferred.
- Driver’s licence (This role will include some travelling).
- Previous experience in a startup environment is a plus.

- Proven experience as an Executive Assistant or similar role.
- Strong organisational and multitasking skills.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office and other relevant software.
- Discretion and confidentiality in handling sensitive information.
- Ability to work independently and collaboratively in a fast-paced environment.
JOB RELATED EXPERIENCE
- 2 – 3 years’ experience in a logistics provider, perishable commodity agent / retailer or commercial farming company in a planning, operational, logistics, finance or solutions role.
- Experience in managing internal and external client relationships.
- Experience in analysing operational processes and/or logistics operations.
